Production Coordinator (Maternity Cover)

Location: Kilcoole, Wicklow

The Role:

You will provide and assist with administrative support by fulfilling crew and equipment requirements for Outside Broadcast (OB) events for a variety of clients across Ireland and the World.

The Production Coordinator will offer a superior service to NEP clients, working in tandem with the assigned Unit Manager(s) and Heads of Operations, Sound and Vision, to ensure continuity of services and delivery from across the business.

This is a varied role within a growing team, requiring the Production Coordinator to be resourceful and have the ability to work well collaboratively and in a time sensitive environment. This position will suit someone looking to take on greater accountability and get exposure to providing support across a range of NEP projects.

Responsibilities

  • Book appropriate crew for events via telephone and email, recording and tracking activities, including days booked and rates of pay to maintain accurate records.
  • Coordinate crew logistics with management and other on-site entities.
  • Book Irish and international travel and accommodation for crew members, if required.
  • Act as a primary point of contact for all crew member enquiries, representing NEP and our core values at all times. Manage and react to any changes brought on by unforeseen circumstances or changes by the client or crew.
  • Ensure that planning sheets are sent in advance of an OB to crew members and keep records, surveys and rig days up-to-date.
  • Complete all purchase orders relating to the event with reference to the quote received.
  • Liaise with the Head of Operations regarding the hire of equipment/kit.
  • Provide support to the Unit Manager(s) as and when required.
  • Ascertain power and security arrangements for OB and arrange as necessary.
  • On completion of an OB, ensure that all additional expenditure, including costs incurred on site are forwarded to the accounts department.
  • Process all invoices from crew and suppliers accurately.
  • Provide administrative support in the general office as and when required (ad-hoc).
  • High availability after-hours, and on-call for crew-related emergencies

Skills / Qualifications

  • General computer literacy; good working knowledge of Microsoft Office skills, Word, PowerPoint, Excel, including the ability to use formulas.
  • Ability to write in a grammatically correct fashion.
  • Knowledge of geographical locations in Ireland is a great advantage.
  • Mathematically competent.
  • Ability to remain calm under pressure; lateral thinker.
  • Strong and confident communicator with positive interpersonal skills; team player.

Desired Qualifications/Competencies

  • Knowledge of TV production, especially in the Dublin market.
  • Project management skills.
  • Safety and first aid training.
  • Full driver’s license.
  • Experience in customer service.
