Project Coordinator

Purpose:

The job responsibilities include the planning, organizing and coordinating of project activities. Working with Project Management, Sales, Operations and Clients to insure effective communications of critical dates, tasks or activity. Participating in and/or conducting weekly project coordination meetings including the coordination of travel and assisting the Project Manager with the scheduling of manpower and subcontractors. Create, maintain and distribute various reports (e.g., job specs, internal memos, cost accounting and purchasing summary data).

Manage and track orders, invoices and budgets. Work with financial contract management to create project status reports, billing summaries, project close out documentation.

Essential Duties/Responsibilities:

  • Assists management in monthly forecasting (NFL and NEP)
  • Assists in the preparation of base data required for monthly job billing
  • Prepares billing for review.
    • LTR Billing
    • FTR Billing
    • Project and Equipment Billing
  • Assists with FTR Scheduling and oversight.
  • Maintains current stadium books, photos and documentation
  • Coordinates the procurement of materials, supplies and services and controls timely delivery
  • Plans, creates and coordinates all travel as required.
  • Assists with the updates of Status reports, including inventory and RMA updates.
  • Maintains delivery schedules and coordinates task scheduling with vendors
  • Maintains contracts and monitors the performance of vendors
  • Keeps superiors and subordinates informed of progress
  • Maintains all records of project status, changes, material flow and other control records and supervises the preparation and processing of reports for internal and external use
  • Maintains current knowledge of Company and Company operations, policies, and organizations.
  • Other duties as assigned.

Position Requirements:

  • Strong Microsoft Excel, Word, MS Project and PowerPoint skills
  • Exceptional team player who knows how to lead and compromise both in-person and with remote groups
  • Proactive problem-solver, self-directed, strong organization and time management skills.
  • Ability to recognize, adhere to deadlines and milestones and anticipate possible issues.
  • Must be able to communicate effectively and coordinate work with multiple departments, internal and external customers, as well as all levels of management
  • Excellent written and verbal communication skills
  • 4-year degree preferred
  • Previous Project Coordinating/Management experience preferred
  • Travel as required 10-20%
  • Valid and current driver’s license
